Add up each day's hours for the week. Anything over 40 hours is overtime, paid at your overtime multiplier, commonly 1.5 times the regular rate. For example, five 8.5-hour days make 42.5 hours: 40 regular hours plus 2.5 overtime hours. At $20 an hour with 1.5x overtime, gross pay is $875.

The formula

Day hours = end - start - break
Overtime hours = weekly total - threshold (if positive)
Gross pay = regular hours x rate + overtime hours x rate x multiplier

Worked example

Five days, Monday to Friday, 8:00 AM to 5:00 PM with a 30-minute break: 8:30 each day.

Weekly total: 5 x 8:30 = 42:30, or 42.5 hours. Regular: 40 hours. Overtime: 2.5 hours.

Pay at $20.00 an hour, 1.5x overtime: 40 x $20.00 = $800.00 and 2.5 x $30.00 = $75.00.

Gross pay: $800.00 + $75.00 = $875.00.

Frequently asked questions

How do I calculate weekly hours and overtime?

Work out each day's hours, add the seven days together, then compare the total with the overtime threshold. With a 40-hour threshold, a 42.5-hour week has 40 regular hours and 2.5 overtime hours. Enter start, end and break for each day above to do it automatically.

Is overtime paid after 40 hours a week?

Under the federal Fair Labor Standards Act, non-exempt US employees are generally owed overtime at 1.5 times their regular rate for hours over 40 in a workweek. Some states, such as California, also have daily overtime rules. Check your state's rules and your contract.

How is gross pay with overtime calculated?

Regular hours times the hourly rate, plus overtime hours times the rate times the multiplier. At $20 an hour with 42.5 hours and 1.5x overtime: 40 x $20 = $800, plus 2.5 x $30 = $75, for $875 gross.

Does this timesheet calculator handle daily overtime or double time?

No. It only counts weekly overtime over a threshold you set, at one multiplier. If your state or contract has daily overtime or double time, use this for the weekly total only and apply those rules separately.

How do I save or print my timesheet as a PDF?

Click Print / Save as PDF. In your browser's print window, pick Save as PDF as the destination to create a file, or choose a printer to print it. The printout leaves out the menus and ads and keeps your hours and totals.

Can I get my timesheet into a spreadsheet?

Yes. Click Download CSV to get a file with each day's start, end, break and hours, plus the weekly totals and gross pay. It opens in Excel, Google Sheets and Numbers. Nothing is uploaded; the file is created in your browser.

Is gross pay the same as take-home pay?

No. Gross pay is before taxes and deductions such as Social Security, Medicare, income tax and benefits. This calculator shows gross pay only.
