To total a day of punches, subtract each clock-in from its clock-out, add the results, then take off any unpaid break. For example, 8:00 AM to 12:15 PM plus 12:45 PM to 5:00 PM is 4 hours 15 minutes plus 4 hours 15 minutes, which is 8 hours 30 minutes, or 8.5 decimal hours.
The formula
Day minutes = sum of all rows - extra unpaid break
Decimal hours = day minutes / 60
Worked example
Punch 1: 8:00 AM to 12:15 PM = 4:15 (255 minutes).
Punch 2: 12:45 PM to 5:00 PM = 4:15 (255 minutes). The 30-minute lunch between the punches is not counted.
Total: 255 + 255 = 510 minutes = 8:30, or 510 / 60 = 8.50 decimal hours.
Frequently asked questions
How do I add up clock-in and clock-out times?
Subtract each clock-in from its clock-out to get the time for that row, then add the rows together. 8:00 AM to 12:15 PM is 4 hours 15 minutes, and 12:45 PM to 5:00 PM is another 4 hours 15 minutes, so the day is 8 hours 30 minutes.
How do I handle a lunch break on a time clock?
The simplest way is to clock out for lunch and back in afterwards, one row for each stretch of work. The gap between rows is then left out automatically. If you only have one in and one out, type the lunch length into the extra unpaid break box.
Is lunch paid or unpaid?
That depends on your employer and your state. Short rest breaks are often paid, and longer meal breaks are often unpaid. This calculator only does the arithmetic, so enter the break the way your employer counts it.
How do I convert 8:30 to decimal hours?
Divide the minutes by 60 and add the hours: 8 + 30/60 = 8.5. The calculator shows both forms, h:mm and decimal, so you can use whichever your payroll form asks for.
What happens if I forgot to clock out?
A row with only a clock-in or only a clock-out cannot be counted, so the calculator skips it and tells you which row is incomplete. Fill in the missing time or ask your manager for the correct punch.
How do I calculate a night shift with punches?
Tick the overnight box. A row where the clock-out is earlier than the clock-in is then treated as ending the next day, so 10:00 PM to 2:00 AM counts as 4 hours.
Results are estimates for planning. Your employer's rounding rules and local labor law may differ.
